Extending Your Federal Contract

You can do this on a buy or on schedule. Although the buys may be competed unless urgent and compelling. Whereas a schedule is good unless you don’t perform.

Your agreement has reached the end of its first installment and there is more time left on the solicitation. That time can be yours, if the CO approves.

On a government buy, these are called options. They are usually competed unless circumstances permit. However, if you have already shown your stuff to Uncle Sam then you’ve got a leg up on your competition. Besides, they already know you and that can be to your advantage. This is also a good time to recompete or in your case, renegotiate. Do your market analysis on the statement of work or performance work statement. The ball is in your court.

If you are on schedule then you simply have to meet the requirements. This is not a time to incorporate pricing or product modifications, though. Do those a year out or six months after. Your CO will thank you if you do. Contract extensions are only about giving you more time. Nothing more. Nothing less.

In both cases, ensure that your extension houses the perimeters of the contract moving forward and that your paperwork is error free when the CO compares your extension package with your expiring contract unless you are recompeting on a buy. Then you have the opportunity to modify an agreement.

I worked schedules and strongly disliked doing short-term 30 day extensions because the vendors either neglected the electronic notice given 60 days in advance or they had to make revisions to match their GSA pricelist. It just adds more paperwork and COs already have enough of that. Sometimes, I even had to do multiple short-term extensions just to get to the full option. It’s always good to communicate with your CO so you’re both on the same page if you desire to move forward.
